This Privacy Policy explains how Inspedium collects, uses, stores, and protects information through the CCMS website, demo forms, communication channels, and the CCMS platform.
CCMS is a cloud-based platform for canine clubs, kennel clubs, breed clubs, associations, registries, and dog show organizers. It helps clubs manage members, dogs, pedigrees, litters, events, show entries, payments, certificates, reports, and related workflows.

2 Scope of this policy
This policy applies to:
- Visitors to the CCMS website
- People who submit demo, inquiry, or contact forms
- Clubs and organizations that request or purchase CCMS
- Club administrators, staff, judges, officials, members, breeders, and other users who access a CCMS portal
- Information processed through CCMS on behalf of client clubs
This policy does not apply to websites, payment gateways, third-party services, or external systems that CCMS links to but does not control.
3 Our role in handling data
For website inquiries, demo requests, sales communication, billing, and support, Inspedium acts as the organization responsible for the information it collects.
For club records stored inside CCMS, the client club normally owns and controls the data. Inspedium acts as a service provider that hosts, processes, and supports the system on the club's behalf, unless a written agreement states otherwise.
Each client club remains responsible for the accuracy, legality, and permitted use of the member, dog, breeder, judge, financial, event, and registry records it enters into CCMS.
4 Information we collect
Website and demo information
When you visit the CCMS website or request a demo, we may collect: name, work email, phone or WhatsApp number, organization name, country or region, message or inquiry details, preferred demo requirements, and technical information such as browser type, device type, IP address, and pages visited.
Client organization information
When a club becomes a CCMS client, we may collect: club name, registered or business address, authorized contact persons, billing and tax details, contract details, subscription details, support and training records, and system configuration preferences.
Platform user information
CCMS may process user data such as: full name, email address, phone number, address, membership number, login credentials, user role and permissions, payment and invoice references, account activity logs, and support messages.
Dog, breeder, and registry information
Depending on the modules used by the club, CCMS may process: dog names, registration numbers, microchip numbers, pedigree records, sire and dam details, litter records, kennel records, breeder and owner details, titles, awards, gradings, show results, health scheme records, and uploaded documents, certificates, and images.
Payment information
CCMS may record payment status, invoice references, transaction IDs, payment dates, payment method labels, and related accounting details. We do not store full card numbers unless a payment provider or written agreement specifically states otherwise. Card and banking data are normally handled by the selected payment gateway or financial service provider.
5 How we use information
We use information to:
- Respond to inquiries and demo requests
- Provide, operate, and support CCMS
- Configure club workflows, forms, certificates, roles, and permissions
- Manage user accounts and access rights
- Process registrations, renewals, entries, certificates, reports, and approvals

6 Legal basis for processing
Depending on the country, user type, and data involved, we may process information based on: performance of a contract, steps taken before entering into a contract, legitimate business interests, legal or regulatory requirements, consent where required, or the instructions of a client club that controls its own data inside CCMS.
For club-controlled data, the client club must have the right to collect and enter that information into CCMS.
7 Cookies and analytics
The CCMS website may use cookies or similar technologies to keep the website working, remember user preferences, measure website traffic, improve website performance, and understand which pages are useful to visitors.
You can control cookies through your browser settings. Some parts of the website may not work correctly if cookies are blocked.
8 Sharing of information
We may share information with:

CCMS is a cloud-based system. Data may be stored, backed up, supported, or accessed from countries other than the country where the client club or user is located. Where required, Inspedium and the client club may agree on additional safeguards for international data transfers.
10 Data retention
We keep information for as long as needed for the purpose for which it was collected. Typical retention periods may depend on: contract terms, club instructions, legal and accounting requirements, backup cycles, support and audit needs, and dispute or investigation requirements.
After a client contract ends, data export, deletion, and retention will follow the applicable written agreement. Backup copies may remain for a limited period until they rotate out of the backup cycle.
11 Data accuracy
Client clubs are responsible for the accuracy of records entered into CCMS. Users should contact their club administrator to correct member records, dog records, pedigree information, show results, certificates, or other club-managed data.
12 User rights
Depending on applicable law, you may have rights to:
- Request access to your personal information
- Request correction of inaccurate information
- Request deletion of certain information
- Request restriction of processing
- Object to certain processing
- Request a copy of your information
- Withdraw consent, where processing is based on consent
- File a complaint with a relevant authority
For data managed by a client club, we may refer your request to that club because the club controls the relevant records.
13 Security
We use technical and organizational measures designed to protect information, including access controls, SSL encryption, role-based permissions, audit trails, backups, and administrative controls. No online system can be made completely risk-free. Users must keep passwords private, use strong passwords, restrict account sharing, and report suspicious activity quickly.
14 Children and minors
CCMS is built for clubs and organizations. It is not intended for direct use by children without the involvement of a parent, guardian, club, or authorized adult. If a club enters data relating to minors, the club is responsible for having the required permissions and legal basis.
15 Public records and club publication
Some club records may be published by a client club through its portal, website, certificates, show catalogues, event results, breeder directories, kennel directories, or other public-facing features. The client club decides what it publishes. Inspedium provides the platform and configuration support.
16 Changes to this policy
We may update this Privacy Policy from time to time. The latest version will be posted on this page with the updated date. Material changes may also be communicated by email, system notice, or other suitable method.
